Reusing a contract template where only the names and dates change, or fixing an old company name scattered across dozens of slides — done by hand, something always slips through. In Word (.docx), PowerPoint (.pptx) and Excel (.xlsx), you can replace text in bulk instead.

How — four steps

  1. 1Open Find & Replace and add your document (.docx, .pptx or .xlsx).
  2. 2Enter what to find and what to replace it with.
  3. 3Use "add rule" to register several pairs at once — names, dates, company names.
  4. 4Run replace, and download the updated document in the same format.

Why the formatting survives

The document isn't rebuilt — only the text inside it is swapped. Fonts, tables and layout stay put. In Excel, phrases repeated across multiple sheets get cleaned up in one pass.

TipShort names can overlap parts of other words — after replacing, skim the document once for accidental hits.

It matters more with contracts
